New Year, Reliable Machines: A Preventative Maintenance Checklist

January usually brings a familiar mix: fresh footfall, colder mornings, and higher expectations at the pass. The quickest way to protect service speed (and margins) is a simple routine that reduces breakdown risk and keeps coffee tasting consistent.

If your site runs commercial espresso machines, grinders, or bean-to-cup systems, have a read through our maintenance guide below. A few simple tips can really help during busy periods, keeping service running smoothly when things ramp up. Let’s look at those daily essentials for a spotless performance…

Espresso Machines (traditional & barista set-ups)

  • Backflush at close (per manufacturer guidance). Use a blind basket and an approved espresso machine detergent at the frequency your machine recommends (often daily in busy sites). Finish with a thorough rinse backflush so no detergent is left behind. Morton Coffee Co supplies a cleaning kit alongside new machines, and we can continue to provide the right cleaning products for your exact set-up through our wholesale service.
  • Clean the group area properly. Wipe the group face, clean the shower screen area, and keep portafilters and baskets free of coffee oils so tomorrow’s shots don’t taste stale.
  • Steam wand hygiene every time. Purge and wipe immediately after every drink. At close, remove/soak tips (where your model allows) in a specialist milk cleaner, then purge again to prevent blockages and protect milk texture.
  • Empty and wash the drip tray and waste box/drawer. Residue builds fast in busy winter service and can become a hygiene issue quickly.
  • Keep beans fresh at the grinder. Wipe hopper exteriors and dosing areas. Store unopened beans sealed; avoid leaving open bags exposed to heat and light.
  • Monitor recipe consistency. Check grind, dose, yield and shot time through the day. Busy service, temperature swings and grinder retention can all nudge extraction, small adjustments keep flavour consistent.

Bean to cup machines

  • Run the guided cleaning cycle at close using the correct tablets and cleaners specified for your machine, especially for milk systems. We supply a starter cleaning kit with new installations and can continue to provide the right cleaning products for your specific bean-to-cup machine through our wholesale service.
  • Empty and rinse waste and drip components daily and keep milk system parts clean and refrigerated/stored per the manufacturer’s instructions.

What’s the best way to clean a coffee machine?

At Morton Coffee Co., we always recommend sticking to manufacturer-approved cleaners for group heads, steam wands, milk systems and brew units. Using the right products protects seals, finishes and internal components, and helps avoid issues that can lead to downtime.

When we install or service equipment, we’ll talk you through a simple cleaning routine that fits your set-up and volume. As a guide, that usually includes:

  • Light cleans during service (wiping and purging as you go)
  • A full clean at close using the correct detergents or tablets
  • A deeper weekly clean of key components
  • Planned preventative servicing, scheduled around your busiest periods

Cleaning schedules can vary by machine, usage and brand, but following manufacturer guidance and using the correct products helps protect performance and reliability. We also supply and stock the right cleaning products for your specific equipment through our wholesale service, so you can keep everything consistent and easy to manage.

Weekly deep clean and alignment checks

  • Soak and scrub removable parts (portafilter baskets, portafilters and, where applicable, shower screens) in espresso cleaning solution; rinse thoroughly.
  • Inspect group gaskets for cracking/hardening and replace if you notice leaks, sloppy lock-in, or persistent side-channelling.
  • Grinder deep clean. Empty beans, clean out the hopper and chute, and brush/vacuum where safe to do so. Build-up and old grounds drive inconsistency.
  • Check consistency signals. If shot times drift wildly without recipe changes, it can indicate retention, burr wear, alignment issues, or a developing flow/water problem.

Water and filtration

  • Verify filter status (install date/capacity). Replace cartridges before capacity is exceeded, waiting until flow deteriorates is usually too late for scale protection.
  • Look for early warning signs around fittings (white/chalky residue) and listen for odd heating noises. These can be clues that scale is starting to build.

Monthly checks that extend component life

  • Filter and water review. Water quality is the foundation of reliability. All Morton Coffee Co. machines are fitted with Brita water filters, helping to reduce limescale risk, protect performance, and keep coffee tasting consistent.
  •  Temperature and recipe calibration. As ambient conditions change, re-dial espresso and milk recipes (grind, yield, milk stretching/texturing timings) so the customer experience stays consistent.
  • Watch for slow flow or “sticky” behaviour. Sluggish flow, odd noises, inconsistent volumetrics or erratic filling can indicate developing issues that are easier (and cheaper) to address early.
  • Inspect steam wand seals and key valves for weeping/drips and replace consumables proactively.

Water filtration and scale prevention (why it matters)

Limescale puts extra strain on your machine and can knock temperature stability if it’s left unchecked. All our machines are fitted with Brita water filters to help prevent this, and we’re always happy to advise on the right cartridge and replacement schedule for your location.

Temperature and workflow tips for colder mornings

Cold starts pull heat from cups, portafilters and jugs. A few simple habits help:

  • Pre-warm cups and keep portafilters locked in between drinks.
  • Purge steam longer on the first jug and reassess stretching/texturing timings. Steam performance can feel different when everything is starting colder.
  • If coffee starts tasting flatter or shots run differently, re-dial your recipe first (grind/yield) before changing machine settings. Any temperature changes should always remain within manufacturer limits.

Simple troubleshooting to reduce downtime

  • Slow shots / channelling: Clean the group area, check shower screen condition, reduce grinder retention, confirm dose and distribution. If it persists across groups, look at water flow/filtration.
  • Low steam performance: Clean the tip, confirm purge habits, and check for early scale signs. If boiler pressure/behaviour seems abnormal, book one of our manufacturer trained engineers to help get things back up & running.
  • Group drips/leaks: Often a worn group gasket or basket fit issue; replace consumables promptly.
  • Inconsistent volumetrics (volumetric machines): Run cleaning cycles, check for debris issues, then recalibrate volumes.

Most faults are repairable, but anything involving pumps, boilers, control boards, or internal electrics should be handled by trained engineers.

Servicing: what to expect with Morton Coffee Co.

Our manufacturer-trained engineers can commission and service equipment so it stays consistent and reliable. Servicing typically includes:

  • inspection of key electrical and hydraulic systems.
  • grouphead checks/refurb where needed.
  • water/filtration checks and filter replacement scheduling.
  • grinder cleaning, burr wear assessment and consistency checks.
  • bean-to-cup software/recipe verification where applicable.
  • a clear service report with practical actions for your team.

You can also speak with us if you’re selecting equipment, we’ll help match capacity, menu and workflow to the right set-up and support plan.

Specialist cleaners and filters: make them non-negotiable

Cleaning chemicals, milk system cleaner and the correct filtration shouldn’t be “nice to haves”, they protect seals/metals, reduce blockages, and lower the risk of scale-related failures.
